Expense Form

The authorisation of the BFA Committee is required for the payment of any expenses, using the expense claim forms below. Details should be self-explanatory to fill in, subject to reading the note on cost codes below. Claimants only need to fill in the first part.

Claims will be put to the committee and if authorised a cheque will be despatched to pay for, or as the case may be, to reimburse the claimant for that expense.

Expense forms can be submitted on behalf of someone else, for example to support purchase of equipment or similar.

Please note: Under no conditions will any expenses be paid where incurred without the knowledge of the BFA committee or where committee authorisation is not given.

Cost codes

All income and expenses are categorised according to "cost codes" in order to allocate money for financial reporting purposes. Expenses must be broken down into individual items, with different cost codes provided as appropriate. Basic cost codes are detailed below:

• BFA100 Website hosting
• BFA101 Domain name registration(s)
• BFA102 Other Internet costs
• BFA200 Memberwide mailshots (>100 members)
• BFA201 Ad-hoc mailings (<100 members)
• BFA202 Stationary (inc small print/photocopy jobs)
• BFA203 Printing expenses (AGM/flyer/other)
• BFA204 PO Box registration/renewal
• BFA300 BFA kit purchases (not for resale items)
• BFA301 Shop purchases/sales (plus associated costs)
• BFA302 Other BFA purchases (e.g. team shirts)
• BFA303 ITSF payments
• BFA400 Tournament support (all costs)
• BFA401 European Open 2005
• BFA500 Table expenses (purchase/hire etc)
• BFA600 reserved
• BFA700 Expert challenge income (as -£) or expense
• BFA701 Sponsorship income (as -£)
• BFA702 Donations income
• BFA703 Interest income
